Virtual Gift Exchange Guide

A virtual gift exchange is a Secret Santa where people are in different places. The draw happens online, gifts ship directly or arrive as e-gifts, and the reveal happens on a video call.

How it works

  1. Create a draw and put a ship-by date and call time in the notes.
  2. Share the join link in Slack, Teams, email, or the family chat.
  3. Everyone adds a wishlist and shares a shipping address privately with their giver, or uses the office address.
  4. Givers order online; recipients wait to open until the call.
  5. On the call, each person guesses who their Secret Santa was before the reveal.

Timeline that works

  • 3 weeks before the call: draw names
  • 2 weeks before: shopping deadline
  • 5 days before: ship-by date (international needs more time)
  • Call day: unwrap one by one

Ship-friendly gift ideas

  • Snack and cocoa boxes
  • Books and book lights
  • E-gift cards for coffee, streaming, or a class
  • Cozy socks and blankets

Three formats that work remotely

A virtual Secret Santa is the most popular format. Each person draws one recipient online, ships a gift or sends an e-gift, and everyone opens together on a call. It's thoughtful and fair, and it's what DrawSage is built for.

A virtual White Elephant works best when gifts are shipped to a host or are e-gift cards with fun descriptions. Use our White Elephant generator on a shared screen to run turns and count steals. A third option is a "same-gift" exchange: everyone receives the same small item (a cocoa kit, say) and opens it together. It's simple for very large teams, but less personal.

Running the reveal call

  • Keep it to about 2 minutes per person; split into breakout rooms for big groups
  • Ask each person to guess their Santa before revealing
  • Have the Santa explain why they picked the gift; it's the best part
  • Record a group photo or screenshot for the team channel

Budgets for international teams

Pick a budget in one currency and let people convert, or set local budgets per country. Allow e-gift cards wherever shipping is unreliable or expensive. Remind everyone of customs delays: international parcels can take two weeks or more in December.

Running the video-call reveal

The reveal is the best part of a virtual exchange, so plan it like a short meeting. Book 30 to 45 minutes, ask everyone to keep their parcel unopened until the call, and go around in a random order. Each person opens their gift on camera and guesses who their Santa is before the Santa reveals themselves. For groups bigger than 12, split into breakout rooms so nobody waits too long.

Shipping is the main risk, so set the ship-by date at least seven to ten days before the call, or two weeks for international groups. Encourage people to order from retailers that deliver to the recipient's country and to share tracking numbers with the organizer if something seems delayed.

Virtual exchange checklist

  • Create the draw and share the invite link in your team chat.
  • Collect addresses privately (each person shares theirs with their Santa).
  • Set the budget including shipping, or say clearly that shipping is extra.
  • Send a reminder a week before the ship-by date.
  • Host the reveal call and take a group screenshot.

Digital gift ideas for tight timelines

If shipping is too slow or too expensive, digital gifts are a good fallback: an e-book or audiobook, a month of a streaming or music service, an online class, a donation to a charity the recipient cares about, or a delivery voucher for their local café. Send them by email with a short personal note, and keep the reveal moment by asking the recipient to open the email on the call.

FAQ

How do we share addresses privately?

The recipient messages their address directly to their giver, or the team ships to a central office. DrawSage doesn't store addresses.

What about international teams?

Set a local budget in each currency and allow e-gifts for hard-to-ship countries.

How long should the reveal call be?

Plan about 2 minutes per person.

What's the best gift for a virtual exchange?

Something that ships easily: snacks, books, socks, or a specific e-gift card.

How do I keep it fair across countries?

Use one budget, allow e-gifts, and give international senders an earlier ship-by date.

Can we do White Elephant virtually?

Yes. Use e-gift cards or ship to a host, and run turns with the White Elephant generator.

Do participants need accounts?

No. Everyone joins from one link with their name.

Should shipping count toward the budget?

Decide up front and say it in the invite. Most groups exclude shipping so people in remote areas aren't penalised.
